Minutes of SSDS Meeting December 7, 2003

- Old Business
- General Report
- Weekly dance status report. Weekly dance status report. Things are OK as status quo. Alice is getting door volunteers.
- Review of Nardone weekend. Carried over due to Kim's absence.
- Financial Report - Greg was directed to make sure that Steve either pays Ballybay rent to him weekly or in advance. Greg received the Nardone workshop financials at the meeting; income was $4625 and expenses were $2269, for net income of $2355. At the November 29 Saturday dance we took in $200 and still owe $100 in rent. Special thanks to Mary Ellen and Chris for handling this event.
- Committee Reports – No reports.
- Progress on upcoming events.
- Holiday Dance December 18. Tania and set-up volunteers will arrive at Knights of Columbus on Taft Road at 5:15. Ann Adams volunteered to pick up the meat and will coordinate with Alice. She also needs to buy condiments (mayo and mustard) and rolls. Mary Ellen and Ann to bring left-over SSDS napkins; we don't need to supply tablecloths. Tania to supply paper goods and pick up volunteer recognition gifts. Tania will read the names of all SSDS volunteers. Can is taking care of sound system; Maria is handling games. Can will make flyers to distribute at 12/11 hop.
- New Years Eve Dance. Hall (Polish Home) is booked and paid for at $400. Maria is finalizing the catering. Cut-off for advance price of $20 per person is 12/22; price after that is $25 with no attendance cap. SSDS (Can) is supplying sound system; USABDA (Geno) is decorating the hall. DJs are Can and Maria. Can will add a registration form to the existing flyer by 12/11 hop. We need to make sure we have a registration list of ticket-buyers.
- Winterfest 2004 Dances Fridays 2/13 and 2/20 at Persian Terrace. Nothing new.
- New Business
- EVENTS SCHEDULE FOR 2004. Kim, Maria & Steve. This committee has been unable to meet to coordinate scheduling of major workshops. Ballybay's is booked for Calmix Saturday dances on January 31, February 28 and March 27. Lynn reported that the date for his Frankie Manning weekend is up in the air. We need to firm up a calendar in time for March 1 mailer (see below).
- Outreach to address perceived regional decrease in dance attendance. Carried over due to Maria's absence.
- Publicity person to coordinate mailings. Debbie Smith is working on getting SSDS a non-profit mailing permit. She will coordinate with Greg regarding documents required for application. The next mailer date is March 1, 2004.
- Equipment rental policy
- Ordering new T-shirts. Debbie Smith is getting some preliminary price info.
- Welcoming newcomers
- Encouraging meeting attendance/participation
- March band dance. We may try to insert this dance into the March 27 slot reserved at Ballybay for the Calmix dance. Michael would like to hire Phil & Hannah and is authorized to negotiate with them, offering $400 to start and up to $500. We will consider a profit-sharing arrangement. Admission price would be between $8 and $10. Greg suggested putting up flyers at SU advertising this dance.
- Volunteer appreciation/recognition
- Other business. Debbie Smith with bring hop flyers to Walt Medicis' adult dance classes at OCC to encourage them to try our dance.
Next Business Meeting: Sunday January 4 at 7 p.m. at Tania and Mark's house.
