Minutes of SSDS Meeting October 5, 2003

1. Old Business
   • General Report
     1. Weekly dance status report. Alice and Mike agreed to "temporarily" take over the task of scheduling volunteers to work the door each Thursday. Tania will make the weekly deposit, including calculating attendance. Steve, Tania and Can will take care of set-up and tear-down each Thursday.
     2. Purchase of storage cabinet (Greg). . Greg almost ordered the cabinet. He claims he will do it soon and have it delivered to his home.
     3. Ballybay venue for monthly dances. We have Ballybay for our monthly dances on 11/29 and 12/27 but do not know about NYE. Steve is supposed to talk to owners about that date.
     4. Volunteer incentives. Noting the difficulty of obtaining volunteers for Thursday door duty and workshop events, we discussed possible solutions and incentives. Can suggested drink coupons valued at $3 for Thursday door duty workers because those who take a lesson only have to pay $1, and free admission becomes little incentive to work. Other ideas are a point system where each time someone volunteers she earns points toward a pre-determined premium, or a volunteer appreciation party for people who work a workshop weekend, or a monthly raffle in which you can enter each time you volunteer. Maria and Kim will work on a volunteer incentive proposal. Mike and Alice will poll door duty volunteers to see if a drink coupon has any appeal but will keep the current system (free admission) in place.
     5. Financial Report - Greg reported net income for September of $501.
     6. Committee Reports – No reports.
     7. Progress on upcoming events.
        1. Nardone Hustle workshops November 21-23. Nardone Hustle workshops November 21-23. Kim is scheduling privates at the KofC and she is placing two beginner classes in the schedule. Kim will get volunteer captains; Can will coordinate DJs. Can and Tania are reviewing the hall rental contract.
        2. Halloween Dance October 25. Greg will handle decorating party and order pizza, solicit volunteers for Friday before the dance. Dave Moran will handle door duty volunteers. Alice will coordinate refreshments with assistance from Tania. We need to find out if we can sell water at the hall. Kim will coordinate contests. Can and Tania will get/be DJs. Kim and Maria will put together some sort of mixer dance.
        3. Holiday Dance December 18. Tania and Alice will coordinate
        4. New Years Eve Dance. Venue is still unsettled, and Steve is checking on Ballybay. Maria suggested Club Polski and Polish Home as possibilities and will check on the latter.
2. New Business

   Mailing.  We need to do one by 10/14 with flyers for Halloween Dance, Holiday Dance and Nardone weekend.  Kim has Nardone flyer and will get all of the necessary documents onto one disk.  Can will investigate using SU printing services for printing, collating and folding.  Kim and Can will coordinate with Tania in getting the final production in the mail, possibly at Tania’s house on the evening of 10/12. 

   Equipment rental policy.  Tania will present next meeting.

   Ordering new T-shirts. Can had the artwork for Tania’s committee.  Tania will try to get artwork on a CD for future orders.

   Welcoming newcomers.  Tania asked people to remain aware/ increase awareness of this issue.  Mike pointed out that we should do announcements earlier in the evening on Thursdays.

   Encouraging meeting attendance/participation

   March band dance.  Mike and Greg will work on a venue and band for last weekend in March.

   Other business.  Kim, Maria and Steve will meet to discuss 2004 workshop scheduling and present a proposed calendar at next meeting.
