There will be a portable dance floor in a covered area (tent) outside the golf clubhouse. Lynn will provide the sound system.
(4) Financial Report. There was no official report, as Steve and Greg are still awaiting the new spreadsheet. However, Steve reports that there is about $16,000. in the treasury. Free passes to the Hop, which had been collected in the past few months, were turned in to Greg, who can track where they came from.
Committee Reports
(1) Workshop documents. --deferred. There was a request that this committee meet, and make a report by the next meeting. In particular, a protocol for the scheduling of privates during workshop events needs to be created.
(2) Dance venues. Maria, no progress
(3) Workshop review classes. Deferred.
Marketing Report. Deferred.
Progress on upcoming events.
(1) Diane Nardone Nov. 15-17. Ukrainian Home. Kim presented a tentative schedule, which is also on the web, with a cha-cha lesson before the friday dance, and a salsa lesson prior to the Saturday dance, to increase the appeal of the event to non Hustle Dancers. The pricing reflects t he level of the offering. Pre-registration will offer a discount over registration at the door. Kim will be recruiting volunteers soon.
(2) Halloween Dance -- October 26th at the Ukrainian Home. Can has continued to have
difficulty contacting Seaway Swing about their ability to work with Israel Hagan on R & B songs. He
will try again to reach them, and will call Steve Olin for advice. If no arrangement can be made soon,
Can will contact Israel about engaging Stroke for the dance. There is no completed agreement with
Seaway Swing. Games and contests: Kim Refreshments Mary Ellen (note -- there are leftover snacks
and bottled water from previous workshops) Door Duty Mary Ellen. Decorating If Steve can arrange inexpensive, or free, use of the hall on Friday evening, October 25, SSDS will host a pizza/decorating/dancing party.
Note: publicity flyers for the Diane Nardone, Halloween and Holiday Party events will be mailed together.
Review of lessons learned deferred. Maria is still waiting to hear from Tracie. The duplication and distribution of videotapes is still not completed.
2. New Business
Holiday Party Thursday, December 19th at the Knights of Columbus on Taft Road. The cost is $175 plus a tip for the bartender --Approved. More planning at future meetings.
Other business (1) Maria said that a couple from Ottawa that supported the Mario workshops asked for SSDS's help in promoting their WCS dance event in October 2002 in Ottawa by distributing flyers, making announcements, etc. Can will put the event information on the web with a link to their web page. It is the usual practice of SSDS to promote regional dance events.
(2) We discussed the planning meeting scheduled for August 18. We will order pizza based on how many people attend. Tania explained that the purpose of this meeting is not to discuss day-to-day business as we do at the monthly meetings. Instead, there is no agenda and we want to encourage an open-ended discussion about people's ideas and dreams for the dance community. We will reflect on our achievements since the last planning meeting and consider new goals. Tania asked people to look at the minutes from last summer's planning meeting, which are on the web. Tania also asked organizers to encourage all dancers, especially those who do not usually attend business meetings, to attend this special meeting. Can noted that he would like to encourage representatives from the other dance communities to attend so we can discuss collaborative projects and sharing. We have had successful collaborations this year with the New Years Eve party, Erie Canal Museum dance, etc. Collaboration will be a definite topic for the planning meeting.
Cooperative Dance with Dancin’ Dave sponsoring Robert Royston. Defeated, for the following reasons -- two venues drawing from potentially the same pool of dancers, financial difficulties inherent in this type of sharing, difficult logistics involved in offering multiple workshops at different sites.
New Year’s Eve Dance with USABDA Unanimous agreement to do this again at BallyBay. It is a fun event, which even made a small profit, with very little work other than ticket selling.
Other Business
Maria proposes quarterly Saturday, DJ’d West Coast Dances, which hopefully would draw dancers from neighboring communities. Strictly Swing and/or Jack and Jills would be offered. Possible sites and dates were discussed, but no decisions were made. Having a different venue from BallyBay would offer a larger space, and also set it apart from weekly Hops. The event should not conflict with similar events in nearby communities. This will be discussed at subsequent meetings, with the first offering possibly in the Winter of 20033.
Next Meeting Sunday, October 6th Steve Ryan’s house
Future meetings: 11/3, 12/1
