Minutes of SSDS Meeting June 27, 2000

1. Old Business
General Report -
- Tania received publicity photos from Eileen Kolynich and will use them for future press releases, bring them to hop so people can order copies. Can will post pictures on the web page. Cost was only $40.19 and Eileen did a great job.
- Tania sent thank-you letters to SSO and CNY Jazz Orchestra on May 17 following our demo. Tania sent letter June 14 to Senator John DeFrancisco to follow up on contacts at SSO demo and Hanover Square. Aid to senator advised that we can meet in the fall/winter with staff to discuss member item funding for special events project taking place in summer/fall 2001. We will form a committee to develop presentation for funding, probably to organize regional swing event with dance downtown.
- Steve's report on collaborative event with Ithaca was tabled.
- SSDS will do demo July 8 at Singles Dance at Knights of Columbus. Greg, Steve, Kim, Tania all available as needed.
Financial Report - Steve. June (to date) had net income of $470.46. Attendance at hops in June has been very high, with more than 50 people 6/15 & 6/22. May had net income of $308.92. April had net loss of $600.97, mainly due to expense of Nunez air fare and purchase of costumes for demos. Year to date shows net income of $1,287.98, but most of that is the unspent administrative grant ($1,000). Financial picture will improve as we recover expenses for Nunez by collecting registrations.
WCS and Lindy Hop nights - Lindy hop night is status quo; June 24 dance had turnout of 13 people, probably due to Big Apple lesson at 8 p.m. We decided not to have WCS night in the summer because Come Back Inn is not available. Barbara of Come Back Inn canceled the June WCS night without notice. Tracie and Can will coordinate WCS nights in the fall and look for another venue, possibly Lucy's.
Grants - Greg & Steve. We need to spend the administrative grant from CRC per grant proposal.
- Greg researched answering machine functions and prices, which range from $29 to $99. We authorized Greg to buy a machine with five mailboxes, as much recording time as possible. Would need mailboxes for general info, mailing list sign-ups, special events, announcements, dancing that week. Steve will determine cost of phone line and decide whether to change his personal phone number or the SSDS number.
- Can will buy back-up copy of Access 2000 for mailing list, which we will install on Steve's computer. Kim compiled mailing list using her computer and programs she wrote. Kim spent a total of 17 hours on the project, with an estimated value of $1,275.
- Tania will rent a PO box for SSDS in the post office of the Federal Building. After we have new address, Tania will purchase return address stamp.
2. New Business
SSDS Summer Picnic - Tania.
- Thursday, July 6 at Camp Brockway, Pratts Falls. Admission is $5 or dish to pass. We will plan for 100 people. Set-up at 5:30 p.m., dinner at 6 p.m., dancing until 10:30 p.m.
- Greg will buy charcoal and lighter; Tania & Dennis will buy other supplies. Steve & Can will set up stereo system. Kim & Dan will organize games. Tania & Steve will bring T-shirts and dance calendar prizes. Can will send reminder emails. Volunteers for set-up are Greg, Kim, Tania, Dennis, Steve, Can, Mark & Dan.
Mary Ann Nunez Workshops -- July 14, 15, & 16 at Ukrainian Home.
- DJ dance Friday night; band dance Saturday night with Bizznezz. Flyers went out in mailing June 9. Band hired for $500, hall for $400(?).
- Volunteer "captains" are Tracie to coordinate housing; Mark to coordinate collecting money at door Friday and Saturday nights (half-hour shifts); Steve to organize Friday DJs; Kim to organize registration; Tom Andrews to organize clean-up. Need volunteer captains for decorations/set-up and refreshments. Volunteer captains and registration volunteers will get $10 off the all-in workshop price; volunteers who work the door for half-hour shifts will get into the Friday or Saturday dance free.
- Steve will coordinate one-level Jack & Jill contest for Friday and/or Saturday nights. No instructors may enter contest, no entry fee. Steve will coordinate showcase of regional dance teachers for Saturday night, total demo time not to exceed 15-20 minutes.
- Steve will call Harvey about hotel room rates and coordinate privates with Nunez on first-come, first-served basis.
Other Workshops -- Kim will contact Michael Kiehm about his workshop price, which he most recently said was $200/hour. We only will pay $150/hour. Steve will contact Diane Nardone for fall/winter hustle workshops. Kim still working on possible Lindy Hop workshop.
Hanover Square - Remaining dates 7/21, 8/4, 8/18, 9/8. Tania will call Downtown Committee to check on bands hired, whether last event has funding.
Demos - Steve & Kim teaching choreography class for summer and fall demos. Tania will check status of demo downtown 7/29 in conjunction with Street Rod convention. Tania will send in application for demo 9/17 at Westcott Cultural Fair.
Other Business
- Tania will write letter of intent stating that SSDS will lease space from proposed dance center at Burnet Avenue.
- Can will buy four box fans for Hudson Hall, cost not to exceed $80.
- We declined to join the National Fast Dance Ass'n because no benefit to SSDS. Ass'n provides music licensing, which we purchase separately.
- Tania will check on cost of premiums (water bottles, pens, mugs) with SSDS logo, phone, web address for prizes/give-aways.
